Zoho One has introduced a new feature called Spaces, aiming to improve how businesses use their digital tools. The update is designed to make user experience more intuitive and adaptable to individual roles within an organization.
Spaces organizes the workspace into three main categories: Personal Space, Organization Space, and Functional Spaces. Personal Space includes everyday productivity tools such as email, calendar, tasks, and file storage. Organization Space focuses on collaboration platforms like forums and company-wide communication channels. Functional Spaces are tailored for specific departments—such as sales, marketing, human resources, and finance—and only appear for users who need them based on their role.
This approach means employees see only the applications relevant to their work. Navigation options have also been expanded; users can choose between top navigation, side navigation, or a compact layout depending on their preference. A new Tools panel allows quick access to additional applications and lets users pin frequently used apps for easier reach.
Another addition is Boards—a feature that groups related applications together contextually so users can find what they need without searching through multiple products. For example, notes from different sources are displayed together in both Notebook and Mail modules.
The update also brings Dashboard 2.0 with improved data visualization capabilities across various Zoho applications. QuickNav provides centralized search and navigation using a shortcut key combination (Z+space), making it easier to move between apps.
An Action Panel consolidates activities such as tasks and approvals into one place. It supports over 20 Zoho applications in planning features and 15 in approval workflows, helping reduce time spent switching contexts during daily work.
For companies that rely on third-party software alongside Zoho products, Web Tab Integrations allow these external tools to be embedded directly into the Zoho One interface.
Finally, Unified Status Availability offers a single location where users can manage their availability across all connected applications so colleagues know when they are reachable.
